Health and Safety Policy — Office Clearance Westham
Purpose: This Health and Safety policy sets out the commitment of Office Clearance Westham to protect employees, contractors and clients during office clearance and waste removal operations. The policy applies across our entire rubbish company service area and to every site activity, emphasising consistent standards for safe working. It is designed to complement operational procedures and to ensure that safety is embedded in every clearance and refuse-handling task.
Our approach emphasises proactive risk management and clear responsibilities. Employees and contractors are required to follow safe systems of work, to report hazards immediately and to cooperate with management in implementing controls. Managers must ensure appropriate training, equipment and supervision are provided for all office clearance, waste collection and skip-loading activities handled by our rubbish removal service area.
Scope: This policy covers all aspects of office clearance operations including manual handling of items, segregation of materials for recycling and disposal, vehicle loading and unloading, use of waste compactors and temporary storage of materials. It extends to customers’ premises and communal areas where our waste clearance service area operates, and to our vehicle fleet and depots.
Key Responsibilities
Management will: establish safe working procedures, provide suitable equipment and ensure compliance with statutory requirements relevant to waste and rubbish removal. Managers will review and update risk assessments regularly, ensure that all operatives have access to current procedures, and allocate sufficient resources to maintain safety standards across the clearance service area.
Employees and operatives must: follow written and verbal instructions, wear issued personal protective equipment (PPE), and participate in training. Staff must not undertake tasks for which they have not been trained and must report near-misses and incidents promptly so that corrective actions are taken. Behavioural safety and ongoing supervision are central to preventing accidents during office clearance.
Contractors and subcontractors engaged in any office or commercial clear-out must comply with this policy and provide evidence of competency, insurance and training. Before work commences, an induction and site-specific safety brief should be completed. The arrangement ensures that the entire waste clearance service area operates under unified controls and standards.
Risk Assessment, Controls and Safe Systems
Comprehensive risk assessments will be conducted for typical clearance activities: lifting bulky office furniture, handling electronic waste, removing confidential documents, and managing sharps or hazardous substances discovered during clearances. Identified risks will be reduced using hierarchy of control measures: elimination, substitution, engineering controls, administrative controls and PPE.
Controls include:
- Safe manual handling techniques and mechanical aids for heavy items;
- Segregation of general rubbish, recyclable materials and hazardous waste;
- Clear traffic management for vehicle movements at customer sites;
- Secure containment and labelling for items requiring specialist disposal;
- Appropriate PPE: gloves, hi-vis, safety boots, eye protection and respiratory protection where required.
Training is essential: all operatives receive induction training, manual handling instruction and task-specific briefings. Refresher training will be provided regularly and whenever procedures change. Supervisors will monitor competence and ensure that operatives working in the rubbish removal service area are aware of current controls.
Incident Reporting and Emergency Response: All accidents, incidents and near-misses must be reported immediately, recorded and investigated. Emergency procedures cover first aid, fire, spill response and safe segregation of hazardous finds in clearance projects. A structured investigation process ensures lessons learned are applied across the waste clearance service area.
Monitoring and Review: Safety performance will be monitored through inspections, incident trends and audits. Key performance indicators will include incident frequency, completion of risk assessments and training currency. Management will review this policy at planned intervals or following significant change to operations to ensure it remains effective and relevant to our office clearance activities.
Commitment: The organisation is committed to achieving continuous improvement in health and safety across the clearance and rubbish removal service area. Everyone involved in the processes has a role to play. By working together we will manage hazards, protect health and deliver a safe, reliable office clearance service that respects people and the environment.
